Situation

A spreadsheet that became a routine

Someone exports, pastes, checks, and sends. The error shows up when a step is left behind.

A scanner with folders beside a monitor that shows points linked to each other.

The spreadsheet starts as a simple control. Over time it becomes the routine: someone exports from a system, pastes into the spreadsheet, checks line by line, and sends the result by email. The error shows up when a step is left behind or when two people edit the same file.

When the process is described and there is access to the systems, the short path is the single flow. It covers one process, up to two systems, the run at the agreed time, and a notice when the routine fails.

If several people already work on top of the spreadsheet and the business rule sits in the formulas, the path becomes the lean system. The screens and the rules follow the work, and the delivered code stays with you.

When what repeats is a report built by hand from that spreadsheet, reading the data is part of the same work. Statistics and large language model (LLM) customization serve that case, adjusted to the document and to the rule of the operation.

What to say in the first message

  1. What repeats, gets stuck, or stopped adding up?
  2. In which system, spreadsheet, or platform does this happen?
  3. What happens when it fails?
